Using an AI chatbot to understand your payslip, safely
AI chatbots can explain the codes and deductions on a payslip, but they get tax numbers wrong and you shouldn't paste in personal details. Here's how to use them well.
Payslips are full of abbreviations and deductions that nobody explains. AI chatbots are good at decoding them: ask what “NI category A”, “1257L”, “FICA”, “SDI” or “ESCT” means and you’ll usually get a clear answer in seconds. But they’re much less reliable at the sums, and a payslip is one of the most personal documents you own. Here’s how to get the benefit without the risks.
What chatbots are good at
- Explaining terms. Tax codes, deduction names, pay elements such as “salary sacrifice” or “pre-tax 401(k)”.
- Explaining why something changed. “My take-home pay dropped this month after a pay rise, what could cause that?” can surface causes you hadn’t thought of, such as crossing a student loan threshold or a new tax code.
- Drafting questions for HR or payroll. A clear, polite email asking why a deduction appeared.
Where they go wrong
- Out-of-date rates. Chatbots learn from data that stops at a certain date, and tax figures change every year. A chatbot may confidently use last year’s bands or thresholds.
- Arithmetic. Language models can make mistakes in multi-step calculations, especially with bands, caps and phase-outs.
- Local rules. Scottish income tax, US state taxes, Canadian provincial credits and similar details are easy to get wrong.
Use a chatbot to understand what a deduction is, then check the amount with a calculator that states which tax year it uses, such as our take-home pay calculators for the UK, US, Canada, Australia and New Zealand.
What never to paste into a chatbot
Anything you type into a chatbot may be stored, and depending on the service and your settings, it may be reviewed or used to improve the product. Before sharing a payslip or asking about one, remove:
- Your full name, address and date of birth.
- Your National Insurance number, Social Security number, Tax File Number, IRD number, Social Insurance Number, Emirates ID or Iqama number.
- Bank account and IBAN details.
- Your employer’s name and your employee number, if you’d rather they weren’t linked to you.
You rarely need any of these to get a good answer. “My gross monthly pay is £3,000, tax code 1257L, and £156.16 was deducted as NI. Is that right?” works just as well as a photo of the payslip.
Safer habits
- Retype the numbers instead of uploading the document. A photo carries everything on the page, including details you didn’t mean to share.
- Check the privacy settings. Many chatbots let you turn off the use of your conversations for training, or use a temporary chat that isn’t saved to your history.
- Use your work’s approved tool for work data. If you handle other people’s payroll, your employer’s rules on AI tools apply, and personal accounts are usually not allowed for employee data.
- Treat the answer as a starting point. For anything that affects what you’re paid or owe, confirm with payroll, the tax authority or an adviser.
Our calculators don’t send your numbers anywhere
Every calculator on Baichdi runs in your browser. The salary and figures you enter aren’t sent to us or stored, so you can check your pay without sharing it with anyone.
